This Privacy Policy explains how YourTeamSpace ("YourTeamSpace," "we," "us," or "our") collects, uses, shares, and protects information when you use our website and application at yourteamspace.com (the "Service").
This policy applies to individual users, students, freelancers, and teams/organizations using the Service worldwide, and is written to address requirements under the EU/UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA/CPRA), and other applicable privacy laws.
1. Who We Are
YourTeamSpace is an all-in-one workspace application providing a dashboard, AI chat, notes, and task management, with team collaboration features including shared workspaces, member roles, shared notes/tasks, invites, comments, and activity logs.

2. Information We Collect
2.1 Information you provide directly
- Account information: name, email address, password (hashed and managed securely), and profile details.
- Content you create: notes, tasks, comments, and other content you or your team enter into the Service.
- Team/workspace information: workspace names, member roles, invite email addresses, and activity within shared workspaces.
- Communications: messages you send us for support or feedback.
- AI chat input: prompts and messages you submit to the in-app AI chat feature.
2.2 Information collected automatically
- Usage and feature analytics: which features, buttons, and options you interact with, to help us understand usage patterns and improve the product.
- Device and log data: IP address, browser type, operating system, and access timestamps.
- Cookies and similar technologies: used for authentication (session management) and, where enabled, analytics. See Section 8.
2.3 Information about others
If you invite team members or share notes/tasks with them, we collect the email addresses and workspace activity of those invitees. If you invite someone who is not yet a user, we use their email solely to deliver the invitation.
3. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including team workspaces, shared notes/tasks, comments, and activity logs.
- Authenticate users and secure accounts.
- Power the AI chat feature (see Section 4).
- Analyze feature usage to prioritize improvements and fix issues.
- Communicate with you about the Service, including service-related notices and, where you've consented, product updates.
- Detect, prevent, and address technical issues, fraud, or misuse.
- Comply with legal obligations.
4. AI Chat Feature
When you use the AI chat feature, your inputs are sent to Googleto generate a response, in accordance with Google's API terms. We retain AI chat history as part of your account content, deletable per Section 9.
5. How We Share Information
We do not sell your personal information. We share information only as follows:
- With your team: content in shared workspaces (notes, tasks, comments, activity) is visible to other members of that workspace according to their role and permissions.
- Service providers (processors): we use trusted third-party infrastructure providers to operate the Service:
- Supabase — database hosting, authentication, and Row Level Security enforcement.
- Vercel — application hosting and edge deployment.
- Google — processing of AI chat inputs.
- PostHog — feature-usage analytics and feature flag management.
- Resend — transactional email delivery for invites and notifications.
- Legal reasons: if required by law, subpoena, or to protect the rights, safety, or property of YourTeamSpace, our users, or others.
- Business transfers: if YourTeamSpace is involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction, subject to this policy.
6. International Data Transfers
YourTeamSpace operates globally. If you are located outside the country where our servers are hosted, your information may be transferred to and processed in other countries, including the United States. Where required (e.g., for EU/UK users), we rely on appropriate safeguards such as Standard Contractual Clauses with our processors.
7. Your Rights
7.1 For users in the EU/UK/EEA (GDPR)
Depending on your location, you have the right to:
- Access, correct, or delete your personal data.
- Restrict or object to certain processing.
- Data portability.
- Withdraw consent at any time (where processing is based on consent).
- Lodge a complaint with your local data protection authority.
Legal bases for processing: contract performance (providing the Service), legitimate interests (improving the product via analytics, security), consent (marketing communications, certain cookies), and legal obligation.
7.2 For California residents (CCPA/CPRA)
You have the right to:
- Know what personal information we collect, use, and disclose.
- Request deletion of your personal information.
- Correct inaccurate personal information.
- Opt out of the "sale" or "sharing" of personal information (we do not sell personal information).
- Non-discrimination for exercising these rights.
7.3 For all users
You can access, update, or delete most account and content information directly in the app, or by contacting us via YourTeamSpace Support.
8. Cookies and Tracking
We use cookies and similar technologies for:
- Essential functions: keeping you logged in, securing active sessions, and protecting CSRF boundaries.
- Analytics: understanding feature usage (see Section 2.2).
We use PostHog to collect feature-usage analytics (Section 2.2), such as which buttons and options you interact with in the app. PostHog may set cookies on your device to support this analytics function.
9. Data Retention and Deletion
We retain your account and content data for as long as your account is active. If you delete your account, we delete or anonymize your personal data within 30 days, except where retention is required for legal, security, or dispute-resolution purposes. Content shared with a team workspace may remain visible to other members until removed by an admin, even after your individual account is deleted, unless you request specific removal.
10. Data Security
We use industry-standard measures to protect your data, including encryption in transit (HTTPS / TLS 1.3), access controls, and Row Level Security at the database level (via Supabase) to help ensure users can only access data they're authorized to see. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
11. Children's Privacy
YourTeamSpace is not directed to children under 13 (or the minimum age required by your local law), and we do not knowingly collect personal information from children under that age. If you believe a child has provided us personal information, contact us and we will delete it.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting a notice on the Service and/or emailing the address associated with your account. The "Last updated" date at the top reflects the most recent revision.
